2. Information We Collect
Account Information. When you register, we collect your name, email address, company name, and billing information. Payment details are processed by our payment processor and are not stored directly by us.
Call and Meeting Data. When the Audora bot joins a meeting, we collect audio recordings and the resulting transcripts of those meetings. We also collect metadata such as meeting duration, number of participants, and platform used (Zoom, Google Meet, Microsoft Teams).
Generated Outputs. We store the documents, specifications, task lists, and other outputs generated by the Service from your meeting data.
Usage Data. We collect information about how you interact with the Service, including pages visited, features used, session duration, and actions taken within the platform.
Technical Data. We collect your IP address, browser type and version, operating system, device identifiers, and other technical information transmitted by your device.
Communications. If you contact us by email or through our contact form, we retain those communications and any information you provide.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the Service
- Process and fulfill your subscription, including billing and access management
- Generate meeting transcripts and project documentation outputs
- Send transactional communications such as receipts, account notifications, and security alerts
- Respond to your inquiries and provide customer support
- Detect and prevent fraud, abuse, and security incidents
- Comply with applicable legal obligations
- Analyze aggregate usage patterns to improve platform performance and features
No AI Training. We do not use your call recordings, transcripts, or generated outputs to train, fine-tune, or benchmark AI models - ours or any third party's - without your explicit written consent.
No Selling. We do not sell, rent, or trade your personal information to third parties for marketing purposes.
4. Sharing and Disclosure
We do not share your personal information with third parties except in the following circumstances:
Service Providers. We engage trusted third-party vendors who process data on our behalf to operate the Service. These include cloud hosting providers, payment processors, meeting transcription infrastructure providers, and email delivery services. All vendors are contractually required to protect your data and may only use it to provide services to us.
Legal Requirements. We may disclose information if required to do so by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Audora, our users, or the public.
Business Transfers. In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email and provide you with an opportunity to opt out before your data is transferred and becomes subject to a different privacy policy.
With Your Consent. We may share information with third parties when you have given us your explicit consent to do so.
5. Call and Transcript Data
Call recordings and transcripts are among the most sensitive data we handle. We treat this data with the following specific protections:
- Recordings and transcripts are encrypted at rest using AES-256 and in transit using TLS 1.2 or higher
- Access to raw recordings and transcripts is restricted to the account holder and authorized team members
- We do not listen to, review, or access call recordings or transcripts except when required for technical troubleshooting at your explicit request, or as required by law
- Call recordings are deleted from our servers within 72 hours of transcript generation, unless you have explicitly enabled long-term recording storage in your account settings
- Transcripts and generated outputs are retained for the duration of your subscription and for 30 days following account termination
Consent Responsibility. You are solely responsible for ensuring that all participants in any call recorded by Audora have been informed of and consented to the recording, in compliance with applicable laws in your jurisdiction and the jurisdictions of all participants.
6. Data Retention
We retain your personal information for as long as your account is active and for a reasonable period thereafter to fulfill the purposes described in this policy. Specifically:
- Account data is retained for the duration of your subscription plus 30 days following termination
- Transcripts and outputs are retained for the duration of your subscription plus 30 days following termination
- Billing records are retained for up to 7 years as required for tax and accounting compliance
- Usage logs are retained for up to 12 months for security and debugging purposes
Following the applicable retention period, data is securely deleted or anonymized.
7. Security
We implement technical, administrative, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, and destruction. These include encryption at rest and in transit, access controls, regular security reviews, and isolated data environments per account.
Despite our efforts, no security system is impenetrable. In the event of a data breach that affects your personal information, we will notify you and applicable regulatory authorities as required by law.
8. Cookies and Tracking
We use cookies and similar technologies to operate the Service, maintain your session, and understand how users interact with the platform. These include:
- Essential cookies required for authentication and session management
- Analytics cookies to understand aggregate usage patterns and improve the Service

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a person under 18 without verifiable parental consent, we will take steps to delete that information promptly.
